Job Description

This role is responsible for providing executive assistant and secretarial support to the Legal and General Assurance Society (LGAS) Limited Board and other Non-Executive Directors, excluding the Group Board, within the Group. This is a good role for someone looking to progress their executive assistant career, with an interest in Company Secretarial work.

What you will be doing:

  • Provide Executive Assistant support to the Non-Executive Directors of LGAS, one of our primary operating subsidiary companies within the Group, and any other Non-Executive Directors, excluding the Group Board, within the Group as required. This would include booking travel arrangements and processing expenses.
  • Provide a full range of secretarial and administrative support to the LGAS Board including; end to end arrangements and logistics of all Board meetings, including room bookings and catering, and support to the LGAS Company Secretary to arrange LGAS Board site visits, including managing logistics, booking travel and dinner arrangements and being the main point of contact on the day of the site visit for all logistical and generalist queries.
  • Provide generalist administrative and secretarial support to the Group Secretarial team and subsidiary Boards, as required. This would include scheduling of future subsidiary Board and Committee meeting dates, uploading of Board papers to our secure board portal, creating document templates, management of Board Support mailbox and team intranet pages etc.
  • Provide support to the Group Board Executive Assistant in the organisation and managing of Group Board and Committee meetings, including UK-based and international travel.
  • Provide EA support to the Head of Group Secretariat, as required.

Qualifications

  • Proven experience as a PA/EA Ability to juggle demanding tasks while working with complete professionalism and discretion at all times.
  • A good knowledge of Microsoft Office applications, particularly Outlook, Word, Excel and PowerPoint as well as other administrative applications used within L&G from time to time.
  • Requires flexibility and resilience to cope with demands, deadlines and pressures while remaining calm in role. Required to deal appropriately at Executive/Non-Executive Director level, with relevant pressures. Remains resilient and reliable under pressure.
  • Excellent organisation skills. Experience and ability to prioritise busy workload, work to importance and deadlines and to be flexible in a continuously changing environment. Understanding of business strategy and objectives, governance processes and inter-relationships between different areas of the organisation.
  • Capable of working alone and unguided, dealing with any situation that arises.
  • Excellent written and verbal communication, professional at all times and appropriate for dealing with senior stakeholders within the organisation.
  • Able to accept and give clear instruction.
  • Able to apply discretion and maintain confidentiality at all times.
