About the Role

This newly created role presents an exciting opportunity to directly support newly acquired customers (e.g., Downer) and be part of a new work stream referred to as “Fleet Upfit”. Upfit will provide select Fleet clients with an end-to-end solution for their company car fleets, presenting them with the opportunity to order both base vehicle and specific accessory fit outs managed and completed in house.

Reporting to the National Support Manager, this role will primarily manage all administration (ordering, logistics, customer and dealer liaison) pertaining to these new fleet customers and Fleet customer upfit orders.

Key Responsibilities

  • Administrative and customer liaison for newly acquired customers
  • Administrative management of Fleet Upfit orders
  • Support pitch presentations and customer tenders to win new business
  • Build and foster strong relationships with all Fleet Upfit stakeholders
  • Provide customer service support to the Fleet Department
  • Prioritize and schedule workload requests taking initiative to action/resolve/follow up in a timely and accurate manner
  • As the Upfit operation is new, support creating Fleet Upfit processes from the ground up
  • End to end administrative management of all Fleet customer upfit orders
  • Forecast vehicle volumes on a monthly basis to ensure stock is available for incoming orders and also ensure the upfit production pipeline is continuously fed
  • Build, code and contract vehicles, following order details
  • Create and maintain bespoke order tracking sheets including build, vessel and road logistics and upfit production
  • Create and issue client reports as required
  • Support pitch presentations and customer tenders to win new business
  • Follow up all queries in a timely manner
  • Build and foster strong relationships with the following stakeholders: Fleet Team, Fleet customers, Logistics team, client’s primary logistics supplier (CEVA), Special Vehicle Engineering (SVE) and the Dealer network
  • Create and maintain up to date desk notes and procedure documents to support vehicle upfit administration
  • Support Ask Fleet mailbox roster (Shared team responsibility)
  • Respond to Ask Fleet emails as required in a timely manner

Required Experience/Skills/Capabilities

  • Minimum 3 years work experience in the Automotive industry in a sales/account support or project co-ordination capacity.
  • Body build and logistics experience would be highly desirable
  • Intermediate knowledge of Microsoft Office products Word and PowerPoint and advanced knowledge of Excel to create formulas is essential.
  • A valid Victorian Driver’s License is required.
