THE OPPORTUNITY

The Event Associate is a key business enabler, responsible for the execution of lower-complexity medical education events such as advisory boards, grants, and smaller speaker tours. While they independently manage these events, they also provide vital administrative and logistical support for high-complexity events led by the Event Specialist, as needed. This role ensures smooth execution of all event-related tasks, helping to drive the success of the medical education team.

RESPONSIBILITIES

  • Own the planning, organization, and execution of lower-complexity events, including advisory boards, grants, and small-scale speaker tours.

  • Provide administrative and logistical support to the Event Specialist on high-complexity events, such as large symposia and international speaker tours, when needed.

  • Assist with logistical tasks, including vendor management, travel arrangements, and venue coordination, for both lower- and high-complexity events as required.

  • Coordinate event logistics such as venue bookings, catering, travel, participant communication, and material distribution for lower-complexity events.

  • Maintain event budgets, ensuring all costs align with financial guidelines and reporting any issues or variances.

  • Assist with the preparation of event materials, including agendas, presentations, and participant lists, for high-complexity events led by the Event Specialist.

  • Ensure that all necessary event approvals, contracts, and compliance documentation are in place for both lower- and high-complexity events.

  • Provide on-site and virtual event support, managing check-ins, troubleshooting issues, and ensuring smooth operations for all events.

Skills & Competencies

  • Business Enablement: Ability to drive the execution of lower-complexity events while supporting the successful delivery of high-complexity events.

  • Event Coordination: Strong organizational and time management skills to effectively handle multiple tasks and deadlines.

  • Stakeholder Management: Excellent communication skills to coordinate and manage tea members, stakeholders, vendors, and event participants.

  • Logistical Support: Capable of supporting the Event Specialist with logistics for complex events when necessary, while independently managing simpler events.

  • Attention to Detail: Strong ability to manage event logistics with precision, ensuring smooth execution and adherence to guidelines.

  • Problem-Solving: Proactive in resolving logistical challenges and supporting the Event Specialist in troubleshooting.

  • Technical Proficiency: Skilled in event management software (e.g., Cvent, iConnect) and office tools (Excel, Word, PowerPoint) to manage logistics and data efficiently.

Experience or qualifications that are critical to this position

  • Experience in coordinating and executing events, with a focus on lower-complexity medical education events such as advisory boards, grants, or small-scale speaker tours, or exposure to medical education working directly with healthcare professionals to educate whilst navigating industry and ANZ specific regulations.

  • Proven ability to manage event logistics, including vendor management, travel arrangements, and venue coordination. Capable of supporting complex events led by Event Specialists while independently handling simpler events.

  • Strong communication skills with demonstrated experience effectively coordinating with stakeholders, vendors, participants, and team members, ensuring smooth collaboration and event execution.

  • Strong understanding of medical industry standards, healthcare codes (e.g. MA and MNZ), and compliance requirements related to medical education events.
