Our BBH Cares program offers volunteer opportunities to give back to your community and help transform the lives of others.Our Transaction Processing & Cash Oversight team is taking interest from Supervisor and Senior Representative level candidates to join our Dublin office.SupervisorThe successful candidate will be filling a critical oversight role within the TA Transaction Processing & Cash Oversight team, ensuring that all Transaction and Cash Processing tasks undertaken outside of Ireland are done in a controlled and efficient manner while maintaining high client satisfaction. The role is at Supervisor level so the successful candidate will need to have good knowledge of TA roles and responsibilities, with preference for someone currently experienced in a Transfer Agency role, who is an ambitious team player looking to get a foothold onto a managerial career .Responsibilities:1. Oversight of Transaction Processing / Enquiries

  • Ensure strong oversight of Transaction Processing and Cash Processing Teams globally.
  • Continually collaborate with Transaction Processing and Cash Processing colleagues globally to ensure most efficient and aligned processes are followed.
  • Ensure all enquiries are addressed in a timely and accurate manner
  • Review and discuss with the Team Leader and Manager any issues that require escalation
  • Handle special processing situations that require strong oversight or manual intervention
  • Establish a rota, in conjunction with the various cut off times and skill set of the team, to cover all daily, weekly, ad hoc tasks
  • Ensure that policies and procedures are adhered to on a daily basis and have this evidenced
  • Review and reorganize together with the Transaction Processing Manager and peers functional tasks that achieve maximum efficiency and reduce operational risk
  • Efficient management of daily controls to ensure that at all times accuracy standards and deadlines are met.
  • Keep Errors and Omissions at a strict minimum at all times
  • Oversee the accurate preparation of any sample files required for internal or external audits or any mailings required for internal or external vendor

2. Client Service

  • Establish, together with the Manager service standards and procedures for the department
  • Remain knowledgeable of changing industry initiatives (attend to presentations, work sessions & personal effort) and educate clients continually through presentations
  • Establish effective internal (BBH)
  • Actively participate and work with the Investor Relations Managers /Client Service Managers, other key stakeholders in the launch of any incremental business such as new funds or share classes
  • Work with Senior Management and Risk to manage controls efficiently to alleviate any potential risk areas
  • (general and technical)

Knowledge and skills

  • Candidate should have at least 3 years Funds Industry experience, preferably within TA or have strong transferable skills.
  • Experience in planning, initiating, and following through to meet objectives
  • Ability to coordinate across departments/functions when needed to handle specific client requests
  • Ability to identify, recommend and implement improvements to existing processes
  • Attention to detail and proven ability to handle complexity
  • Ability to work effectively under pressure and demonstrate initiative
  • Proven ability to communicate effectively both verbally and in writing
  • Proven ability to adapt to change and problem solving

Senior RepresentativeThe Senior Transfer Agency (TA) Representative will be responsible for the oversight of Transaction Processing and Cash for the funds for which BBH acts as Registrar. Specific responsibilities include the ability to perform oversight of Transfer Agency Transaction Processing and Cash Processing functions in a controlled and efficient manner while maintaining high client satisfaction. The role will involve working closely with, and providing support to, their supervisor to ensure the team operates efficiently and that deadlines are met. This will require initiative and attention to detail as well as the ability to gain commitment among fellow team members.Responsibilities:1. Product

  • Ensure all enquiries are addressed in a timely and accurate manner.
  • Oversight of daily controls to ensure that at all times accuracy standards and deadlines are met.
  • Review and discuss with the Supervisor, Team Leader and Manager any issues that require escalation.
  • Ensure that policies and procedures are adhered to on a daily basis and have this evidenced.
  • Keep Errors and Omissions at a strict minimum at all times.
  • Preparation of any sample files required for internal or external audits.

2. Client Service

  • Remain knowledgeable of changing industry initiatives (attend presentations, work sessions & personal effort).
  • Establish effective internal (BBH) network.
  • Actively participate and work other TA teams the launch of any incremental business such as new funds or share classes.
  • Work with the manager to manage controls efficiently to alleviate any potential risk areas.
  • Regular attendance and active participation at team meetings.

Qualifications

  • Minimum 1 year experience working in Transfer Agency
  • Experience in planning, initiating and following through to meet objectives
  • Ability to coordinate across departments/functions when needed to handle specific client requests
  • Ability to identify, recommend and implement improvements to existing processes
  • Attention to detail and proven ability to handle complexity
  • Ability to work effectively under pressure and demonstrate initiative
  • Proven ability to communicate effectively both verbally and in writing
  • Proven ability to adapt to change and problem solving
  • Good knowledge of standard Office applications. (Word, Excel and PowerPoint)
