Job Summary

The Senior Marketing Communication Assistant position will provide support to the Associate Director of Admissions & Marketing for day-to-day direct marketing activities related to the recruitment of new students to NTID, as well as additional support to the front office staff. Key tasks will include managing the delivery and mailing of all communication materials (paper and electronic), becoming proficient in RIT’s Slate admissions system, and maintaining an effective communications calendar.

Job Responsibilities

Communication Flow

  • Execute and monitor the admissions communication flow, including performing mail merges, printing and sending large volumes of paper mailings, and emailing information through the Slate database.
  • Leverage the Slate admissions system for query writing and management, generating student mailing lists, and establishing email layouts and image placement.
  • Manage image files to be used for email campaigns, including sourcing, resizing, and optimizing.  
  • Coordinate with RIT’s print and postal units to ensure all printed materials and mailings are accurate and are received by the admissions office and/or mailed out on time.
  • Maintain an accurate and effective communications calendar that will assist in driving attendance at virtual and in-person events, and engaging prospective students to apply, complete applications, or pay deposits.
  • Responsible for the timely packaging and shipment of recruitment materials for the admissions counselors, conference materials, and individual requests from internal and external audiences.

Inventory Management

  • Responsible for tracking inventory and identifying when publications or other materials need to be replaced based on usage from regular communication flow, recruitment trips or conferences, and on-campus activities.
  • Responsible for ordering letterhead, paper, envelopes, and other supporting marketing-related communication flow materials.

Student Worker Oversight

  • Under the supervision of the Associate Director of Admissions & Marketing, responsible for the training and daily oversight of at least one student worker.
  • Assign appropriate duties, and supervise completion of those duties.
  • Keep student worker training materials updated.

Required Qualifications

Education/Experience:

  • Associate’s degree in Marketing, Communications, Business, or related field, with a strong focus on technical and programming logic skills – particularly familiarity with database systems
  • 1-3 years office experience

Skills:

  • Exceptional communication skills and the ability to build rapport with prospective students via email marketing messages.
  • Attention to detail and accuracy
  • Strong customer services skills
  • Collaborative team player, and ability to work independently
  • Skilled in Microsoft Office suite, especially Excel
  • Skilled in creative thinking, problem solving, and process improvement
  • Demonstrate excellent communication and grammar skills, including, but not limited to, proofreading written communication to ensure accuracy

Preferred Qualifications

  • Bachelor’s degree strongly preferred, in Marketing, Business, or related field, with a strong focus on technical and programming logic skills – particularly familiarity with database systems
  • Fluency in American Sign Language and familiarity with Deaf culture or ability to achieve fluency in three years. 
  • Knowledge of a CRM system (like Slate), and a good understanding of how databases function, including the ability to develop logic to retrieve data fields, build queries, and run reports
  • Knowledge of basic HTML and image management
  • Ability to lift up to 30 lb. boxes of print publications
