The Opportunity

We are currently looking for an Administrative Specialist to join our growing Melbourne team. The role will give you an opportunity to provide administrative support to our Victorian office through reception. You will have the opportunity to be the face of the office, liaising with colleagues, guests, and clients each day.

The key responsibilities of this role include:

  • Answering all external phone calls, screening and forwarding or message taking where appropriate

  • Liaise with and greet staff, clients, visitors

  • Maintain Meeting/function booking systems including refreshments & catering requirements when requested

  • General administration, including photocopying, laminating, printing, binding, data entry, filing and scanning when directed

  • Management of in-box, monitor, review and prioritise all correspondence, respond and re-direct emails as requested

  • Coordinating mail; ingoing and outgoing mail to Australia Post and courier companies

  • Maintain a filing system adhering to KBR document management protocols which enables the timely retrieval of documents

  • Process travel and accommodation arrangements in accordance with the KBR Travel Guidelines

  • Processing expense claims

  • Formatting and producing accurate, timely and well-presented documents that conform to the KBR Style Guide

  • Providing support to invoicing & procurement

  • Rail Industry Worker Coordination support

  • Routinely meet deadlines by prioritising workload to ensure internal client needs are met

  • Maintain the highest degree of presentation

  • Maintaining good relationships with other staff that support the performance of your work and promote good morale

  • Being proactive

  • Build and maintain professional relationships with other Personal and Administrative Assistants

You will receive ongoing professional development and the opportunity to work with technically eminent professionals. Employees of KBR may benefit from up to 8 additional hours of accrued flexible leave every 4 weeks in addition to the standard 4 weeks of annual leave each year (33 days in total).

Who are you?

Working together to reach common goals cannot be done without passion and commitment and we are looking for a proactive team member who can demonstrate these traits. The ideal candidate will have a minimum of 2 years of experience within an office environment, the ability to acquire new skills and work within a fast paced, dynamic team.

Under supervision of the office manager, it is expected you will be able to monitor your own workload to ensure deadlines are met. Excellent written, verbal and interpersonal communication are important, as well as comprehensive grammar and editing skills. Proficiency with touch typing and Microsoft programs is essential and experience with SAP will be highly regarded.
