Production Coordinator in Sydney, Australia

What’s the role?

The Production Coordinators key in supporting our producers in delivering high-quality videos to our clients. In this role, you’ll assist with production logistics and client communications on larger projects while independently managing and executing smaller video briefs.

  • Support General Manager and Creative Solutions Team in planning, scheduling,resource allocation, and adhoc admin support.

  • Assist in managing video productions from start to finish, including project proposals/presentations, project scheduling/timelines, briefing crew, coordinating logistics, overseeing post-production, delivering & managing final assets and project reporting.

  • Oversee and approve editing work, ensuring videos align with brand guidelines, timelines, client expectations, and high-quality standards while managing revisions efficiently.

  • Provide exceptional communication throughout the production process, keeping clients, production crew and editors informed, managing expectations, client feedback and ensuring a seamless experience.

  • Support producer with administrative and production tasks, including creating production documents, scripts, creative briefs, call sheets,release forms,risk assessments and shot lists.

  • Source and book contractors, talent, locations, and equipment as needed, ensuring all production elements are in place.

  • Attend shoots when required, acting as an on-ground liaison or a runner between clients and crew to ensure a smooth production process.

  • Assist in managing project budgets by tracking costs and flagging any scope changes that may impact the budget.

  • Ensure smooth handover from production to post-production, ensuring editors have all necessary assets, creative direction, and client notes.

KPI’s

  • Deliver high-quality video content that meets Visual Domain’s production standards, ensuring consistency, accuracy, and alignment with client expectations.

  • Effectively manage projects from briefing to delivery, ensuring timelines are met, budgets are maintained, and scope creep is flagged when necessary.

  • Maintain professional and timely client communication,responding to allrelevant client requests promptly and proactively managing expectations.

  • Provide strong production support to producers, enabling them to delegate tasks confidently with minimal supervision.

  • Maintain in-office presence (3 days per week)

  • Complete all required compliance training within the designated timeframes to ensure adherence to company policies.

Who are you?

  • Customer service and/or account management experience, with a strong focus on client satisfaction and relationship building.

  • Proven ability to manage multiple projects and deadlines, balancing priorities in a fast-paced environment.

  • Calm under pressure, solutions-focused, and a natural problem solver who can think on theirfeet.

  • Highly organised, with the ability to create and manage project timelines effectively.

  • Experience in video production or a related creative field, with an understanding of production workflows.

  • A strong team player, able to collaborate with producers, editors, and clients while maintaining a proactive approach.

  • Excellent communication skills, both written and verbal, to ensure clear client and internal team interactions.

  • Attention to detail, ensuring accuracy across all aspects of production, from briefing to final delivery.

  • Scriptwriting or copywriting skills are desirable but not essential.

  • Experience managing budgets is desirable but not essential.

  • Familiarity with production software & tools such as ClickUp, Frame.io, Premiere Pro or similaris a plus.
