About the Role

Jacobs Life Sciences (LS) business – operating from offices in Dublin and Cork – provides end to end project management, design, supply management, cost management, construction, commissioning and qualification services for Clients in the life sciences and advanced manufacturing sector. The project portfolio encompasses multiple small scale managed services and sustaining capital projects for client infrastructure in Ireland, as well as large scale engineering, procurement, construction management, commissioning and qualification projects for clients in Ireland and globally.

The Director of Project Governance and the Director of Performance and Quality provide oversight, monitoring and support to project delivery teams with a focus on compliance with Jacobs quality standards, and continuous improvement through capture and standardisation of delivery best practice.

The Performance and Quality Administrator role will report to the Performance & Quality Director and will support the Performance & Quality and Governance functions. Training will be provided to the successful applicant to provide a broad understanding of the Jacobs Life Sciences business, ISO Quality objectives and requirements, and Jacobs project delivery systems.

The key functions of the Performance & Quality Administrator include:

  • Administrative support including scheduling of Project Quality Audits with Quality Champions; Strategy Meetings, Stage Gate Reviews, Lessons Learned Reviews and other Governance and Performance/Quality meetings as required.
  • Uploading of Performance & Quality data (audit findings etc) to a central database (Intelex).
  • Extraction of Project performance data from Polaris enterprise platform and compilation of dashboards and presentation materials facilitate reporting and follow-up of non-compliances.
  • Assist in the development & implementation of work processes, procedures, systems & tools with Performance & Quality Director.
  • Assist in preparation for third party ISO audits.
  • Assist in development of “Best Practice” training materials.
  • Assist in monitoring and reporting of training compliance.
  • Assist in running and updating the Beyond Excellence SharePoint site (training provided).
  • General administrative support for the Governance and Performance & Quality functions.

Here’s what you’ll need

  • Good organizational and communication skills
  • Competent in use of standard MS Office software platform (Word, Excel, PowerPoint).
  • An aptitude for data management, compilation and reporting
  • Good team player, with an ability to work with people in a positive mindset. 
  • Ability to use your own initiative and give clear information and/or direction to others. 
  • A knowledge of project delivery and execution. 
  • Third level or Further education qualification(s) demonstrating competence in administration, quality management or related fields.
