This highly dynamic and innovative Tech Company is seeking a strategic and dynamic Office & Operations Manager to join their team.As a new role within the company, this offers a unique opportunity to build and re-shape the physical hub operations function from the ground up. The purpose of this role is to deliver exceptional hub operations for the community, programmes and strategic partners.Key Responsibilities
- Oversee the performance and user experience of the physical space (both member and event spaces) at this company
- Identify areas for improvement while ensuring smooth processes
- Have a strong working relationship with the community and programme teams to ensure a world-class physical space experience
- Oversee a new reception role that acts as the first point of contact for user experience, security and administration
- Oversee a Facilities Manager and have ultimate responsibility for keeping the spaces up to standard
- Monitor and manage office budgets, including supplies, services, and facility costs
- Working with outside providers to ensuring they have a world-class AV in meeting rooms to facilitate hybrid working
- Provide operational support to community and programme leads to deliver relevant events in the hub
- Work to upgrade event spaces as relevant to ensure members, programmes and other events can be as user friendly, with the ability to be self-sufficient
- Manage the allocation of event spaces and the company calendar to avoid overlaps and resource stress to the space and user experience
- Manage the allocation of AV support for community, programme and strategic events
- Work with the CEO office, Finance team, Marketing team, Community team and programme teams to oversee a wide range of responsibilities related to the physical space, including projects to enhance the space, to thinking creativity about on-site messaging / branding
- Identify opportunities for improvement, refine back the policies, and implement best practices to further enhance the experience in the physical space while ensuring compliance with company guidelines and local regulations
- Assist senior leadership with contractor engagement and play a key operational role on renovation projects
- Monitor event operations to anticipate potential issues and implement proactive solutions
- Oversee daily office operations to ensure efficiency and productivity
Key skills and Requirements
- 4+ years of experience in an office management or administrative role, with proven event management experience
- Self-starter able to work independently and handle confidential information with discretion
- Strong organisational and multitasking skills with attention to detail
- Excellent communication and interpersonal skills
- Proficiency in Google Suite, project management tools and CRM tools
- Familiarity with office equipment, technology, and facilities management
