Remuneration: 3,800-4,500 USD/month

The role

The Management Accounting Senior Officer, a pivotal role within our Finance Team, will ensure timely and accurate accounting records and financial management information. Your expertise will be instrumental in our financial operations.

Responsibilities

Accounting – 60%

  • Ensure timely, accurate month-end and annual closing, and manage all accounting transactions.
  • Lead on the processing of payments and reconciliation of bank accounts.
  • Ensure that all Balance Sheet Accounts (e.g., AP & AR, intercompany, prepaid…) are reconciled monthly concisely with all relevant supporting documentation.
  • Manage balance sheets and profit/loss statements.
  • Preparation of journal entries to ensure accurate accruals-based management.
  • Ensure timely bank payments.
  • Ensure that all transactions have the corresponding supporting documentation.
  • Guides accounting teammates by coordinating activities and answering questions.
  • Support in new processes and system implementation when required
  • Support in time of Audit.
  • Maintains accounting controls by preparing and recommending policies and procedures.

Payments – 15%

  • Ensure timely and accurate financial disbursements and up-to-date accounting ledgers, including preparing and uploading batch payments within our policies.
  • Issue invoices on time and follow up on outstanding invoices.

Reporting -15%

  • Actively participate in the preparation of budgets and forecasts.
  • Ensure accurate financial information, including producing timely budget vs actual reports, forecasts, etc
  • Support internal departments in maintaining financial records, including country offices, to facilitate the production of quality and accurate reports.
  • Review financial reports with budget holders, supporting them to make informed decisions based on financial information.
  • Update the grants and contracts schedule to align with HubSpot and information used for cash flow forecasts.

Procurement 5%

  • Ensure that procurement guidelines and policies are up-to-date and robust
  • Design and implement processes to ensure adherence to the procurement policy, ensuring the highest standard of compliance, taking donor rules and regulations into account
  • Work collaboratively with all team members to ensure that the procurement system is implemented following the policy and in a way that facilitates program outputs.
  • Run regular training exercises to ensure all team members know and understand the system.
  • Regularly update the systems and procedures to ensure that they remain compliant and flexible.

Other responsibilities 5%

  • Assist in resolving financial related queries from team members, third parties and other stakeholders,
  • Assist with collecting and reporting financial information as required
  • Ensure compliance with donor reporting requirements
  • Training finance, program, and other team members on processes related to finance and finance systems.
  • Document systems and processes used in Finance

Qualifications

The Management Accounting Senior Officer should be enthusiastic about helping people get vital information and be heard, whatever language they speak.   • Able to innovate to find creative solutions; willing to explore new technologies
  • Comfortable with and eager to use CLEAR Global’s online systems, including Zahara, banking platforms, HubSpot, and SUN System.
  • Resourceful, hands-on, able to take initiatives
  • Previous experience with nonprofit organizations is an asset, particularly in US-registered not-for-profit
  • Great communication skills
  • Thorough attention to detail

Requirements

  • 5+ years of professional accounting experience, exhibits strong technical accounting knowledge
  • Professional accounting qualification required (CPA preferred)
  • Excellent Excel / google spreadsheet skills
  • Experience in accounting for grants desired
  • Humanitarian or international development experience desired
  • Advanced knowledge of SUN System desired
  • Knowledge of expense management, purchase order, payment systems and Slack communication system

Job requirements

The successful candidate will need to have access to a stable internet connection and a computer to be able to carry out the role.
