Job DescriptionLegal Secretary – ConveyancingLocation: BirminghamSalary: £23,000 per annum, depending on experiencedHours: Full time and office basedACS are looking for a Legal Secretary to join our clients busy Residential Conveyancing team. This role will be supporting 2 fee earners in all aspects of the sale and purchase of residential properties. There are currently 2 Legal Assistants within the team, each working with 1 fee earner, and so this role would be primarily focused on picking up overflow of admin tasks to ensure the smooth running of the department.Key tasks of the role include:
Carrying out all scanning of correspondence and filing in case management system.
Typing and preparing correspondence, documents, and forms.
Opening, updating and closing matter files and recording client data.
Dealing with identification documents, and ensuring AML procedures are followed at all times.
Preparing mail and enclosures for dispatch.
Telephone liaison with internal and external callers, taking accurate messages and passing them on to the relevant fee earner as soon as possible.
Making appointments, arranging meetings and maintaining an up-to-date diary for fee earners.
Updating clients with efficiency and politeness throughout the process
Preparing contract efficiency packs
Ordering redemption statements
Exchanging contracts and organising completions
Preparing bills and the financial documentation
Post completion work, including preparation of Stamp Duty Land Tax Returns, drafting applications to the Land Registry, deeds schedules, etc
Ensuring compliance with quality standards and company policies/procedures
What we’re looking for:
At least 2 years’ experience as a Legal Secretary, ideally within Residential Conveyancing.
Excellent organisation skills, with the ability to manage a busy workload.
Able to work well with others – you will be working with 2 other support staff and so you must be able to effectively share and hand-over work to others.
Excellent IT skills with the ability to pick up new systems quickly.
Experience of Tikit (or similar case management system) and BigHand would be advantageous but not essential.
Displays a can-do, positive attitude to work, and a high degree of self-management.
Excellent communication skills, both written and verbal.
Excellent attention to detail
Proven ability to work to deadlines and targets
