Junior Sales Administration Assistant

To provide admin support to the Mobile Equipment Sales Team at an Oceania level.
To support the National Sales Administrator with day to day duties – as directed.
To ensure the Sales Process checklist is followed at all times (and audited/updated accordingly).

Main tasks and responsibilities
Sales Support
Manage the sales approval process, ensure all approvals are complete for each sales proposal before it is submitted to the customer
Weekly Sales Meeting Report – update all information on the report and publish amongst the team on a fortnightly basis
Process Shipping Freight Invoices and ensure goods received
Assist with all Salesforce CRM inputs and data management
Manage the Sales Force Pipeline by providing reporting as required
Salesforce order processing for all customers
Delivery schedule – update all shipping information in concert with NSA
Provide information to customers and Service Managers about the status of orders
Ensure equipment handover from Sales to Service (for initial commissioning)
Follow up all Acceptance Certificates as part of the delivery / hand over process
Update equipment master in SAP
Process all new equipment sales invoices
Basware Invoices – raise PO and GR for shipping / invoices
Provide full admin, filing of documents in Google Drive
Co-ordinate any DocuSign documents for signature
Handles and follows up customer sales enquiries
Maintains liaison with outside organisations and factories and keeps them, and the sales team, up to date with developments in the sales process
Advise management of service complaints and take initial action to handle the complaint
Administration
Processes purchase orders, quotes, prices and arranges/monitors deliveries
Provides full administration and filing to support the sales team
Ensure shipping and logistics information is updated regularly
Raise invoices for all equipment sales are raised in a timely manner
Submit equipment factory orders
Product Knowledge
What you’ll need to succeed
Education
Minimum year 12 graduate
Certificate/Diploma in a business orientated field or administration
Experience
Previous experience in a sales support or branch administrative role
Previous experience in managing customer complaints
Previous experience working in customer service
Previous experience using CRM Sales System (Salesforce or similar)
