Overview of position:
CTG is looking for candidates whose experience match the below TOR for our operations in Abyei.

Under the overall managerial & administrative leadership of the Senior Liaisons Officer, the staff performs various functions to include the following:
Assists in the coordination of program / project planning & preparation work for, typically, a medium size & complex component of the departmental program / project initiatives, monitors status of program / project proposals & receipt of relevant documentation for review & approval.
Compiles, summarizes & presents basic information / data on specific programs / project & related topics or issues.
Reviews project documents, especially cost plans / budgets, for completeness & compliance with relevant rules & procedures prior to submission for final approval & signature, identifies inconsistencies, distributes project documents to relevant parties upon approval.
Reviews budget revisions, verifies availability of funds, ensures necessary approval & entry in computerized budget system.
Serves as focal point for administrative coordination of program / project implementation activities, involving extensive liaison with a diverse organizational unit to initiate requests, obtain necessary clearances, process & follow up on administrative actions, e.g. recruitment & appointment of personnel, travel arrangements, training / study tours, authorization of payments, disbursement of funds, procurement of equipment & services, etc.
Compiles, summarizes & enters data on project delivery, drafts related status reports, identifying shortfalls in delivery, budget overruns, etc. & brings to the attention of management.
Drafts correspondence on budget related issues & prepares & updates periodic reports, briefing notes, graphic & statistical summaries, accounting spreadsheets, etc.
Provides general office assistance; responds to complex information requests & inquiries; reviews, logs & routes incoming correspondence, sets up & maintains files / records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc.
Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply & equipment orders, etc.), including preparing & / or processing administrative requests / documents (e.g., travel requests, expense claims, raising payments, vouchers, visa applications, etc.) as well as the recruitment of consultancy services or the contracting of procurement services.
Manages, updates & further develops internal databases, updates website & social media; generates a variety of standard & non standard statistical & other reports from various databases.
Performs other duties as assigned.

Project reporting:
This role reports to the line manager.

Key competencies:
Completion of secondary education required & completion of tertiary administrative qualification desired with at least 5 years of relevant practical work experience.
UN field experience is desirable.
Fluency in oral & written English.
Ability to produce quality output under pressure & adhere to deadlines.
Knowledge of internal policies, processes & procedures generally & those related to program / project administration, implementation & evaluation, technical cooperation, programming & budgeting.
Understanding of the functions & organization of the work unit & of the organizational structure & respective roles of related units.
Ability to work well with figures, undertake basic research & gather information from standard sources.
Demonstrated ability to apply good judgment in the context of assignments given.
Shows pride in work & in achievements, demonstrates professional competence & mastery of subject matter, is conscientious & efficient in meeting commitments, observing deadlines & achieving results; is motivated by professional rather than personal concerns, shows persistence when faced with difficult problems or challenges, remains calm in stressful situations.

Good interpersonal skills, demonstrated ability to develop & maintain effective work relationships with various offices & counterparts in engineering, in a multi cultural, multi ethnic environment with sensitivity & respect for diversity.

This role has no team management resposibility.
