We are looking for an individual with experience in Fleet to join our Colnbrook based team as Fleet Coordinator & Logistics Administrator (FCLA). The role has two parts. First it has responsibility for running the company’s fleet including the management of the company vehicles, hire vehicles, grey fleet & and liaising with our Transport Manager who will be responsible for O license Operations (where applicable – this could be a 3rd party operation).Second, it supports the logistics dept with particular emphasis on stock and inventory management alongside other logistics areas.The position will play an important role in ensuring the cost effectiveness and efficient running of these services whilst adhering to legislative and health and safety requirements and following industry best practice.Essential accountabilities include:Fleet Coordinator

  • Updating and maintaining a database of all hires, purchases, registrations, inspections, maintenance, and allocation of vehicles
  • Scheduling fleet maintenance including MOT and servicing
  • Performing all vehicle registration, insurance and all other formalities
  • Working with relevant managers to understand and meet immediate and future vehicle requirements
  • Managing fleet procurement spend for servicing, maintenance and spare parts
  • Developing and managing supplier relationships including contract negotiation in tandem with the Head of Operations
  • Ensuring vehicle operators are aware of security requirements
  • Where relevant, manage the tracker software and produce reports on efficiency and analyse information about the fleet, including mileage and fuel costs.
  • Working closely with the designated Transport Manager analyse vehicle tracker and tacho information and ensure driver compliance with relevant driving regulations.
  • Carry out driving license checks for employees and contractors required to drive for company vehicles and hire vehicles
  • Streamline and monitor the company fuel purchase system.
  • Plan, prepare and analyse annual expenditures with a look to reduce costs
  • Maintain a record of grey fleet drivers and ensure relevant documentation checks are conducted
  • Management of any fines / penalties received for Company cars and hire vehicles.
  • Keep abreast of changes in vehicle and driving legislation and communicate changes to appropriate staff members and ensure that the company is compliant

Logistics Administrator

  • Assist the Goods In/Out team with the fast and efficient processing of goods In/Out requests and updating the asset management system.
  • Assist with the compiling and management of inventories and communicate inventories of returned campaigns to the relevant campaign team.
  • Assist with maintaining the racking stock location system, monitor movements, keep inventories up to date.
  • Provide general admin support to the N2O Logistics and Field Support teams.

  • A minimum of 1 preferably 2 years fleet coordinator/Logistics related experience
  • Previous experience in general logistics, vehicle leasing, transport &/or warehouse administration.
  • A self- starter with experience of setting up new systems / processes.
  • Strong awareness and understanding of industry best practice.
  • Strong numerical and analytical skills
  • A full UK driving licence
  • Excellent administrative and time management skills
  • Good standard of English communication skills
  • An understanding of vehicle manufacturers’ guidelines and government legislation
  • Good IT Skills including Microsoft Office and Excel
  • A confident negotiator with supplier management experience
  • Hands on, can-do, flexible attitude
  • Flexibility to work unsocial hours including early mornings, late evenings and weekends – when required.

£28000 – 32000 per year
