Facility Managers in the West of Ireland, we have an exciting opportunity for you to Manage hard services FM (mechanical / Electrical)and technical FM. You will take ownership of the upkeep and maintenance of this new state-of-the-art Testing and Analysis Facility. The facility includes; Office space, meeting rooms, canteen and circa 8 Laboratories and landscapes. Although you will be managing a rotating shift team, this role is Monday to Friday standard hours. This new facility is built to Near Zero Energy Standards, through the use of intelligent heating and cooling systems, HVAC, lighting, proximity sensors, energy monitoring systems, and maximising the use of daylight as well as utilising high quality sustainable materials and equipment. A spacious, high quality environment that will promote sustainability in the office space as well as the laboratory. This is a building to enjoy working in. The team are commitment to future sustainability initiatives.Your Role will be; To provide Facility Management; technical (mechanical / electrical) (some soft services), Budget / Vendor Management, and HSQE responsibilities.Duties will include

  • Manage Subcontractors, Service providers, and specialist consultants that services the facility
  • Ensure Safe Systems of Work are issued and adhered to for all activities.
  • Ensure GMP requirements and compliance is maintained as per site procedures; any deviations are reported and investigated as required
  • Key Stakeholder for any Capital Projects associated for buildings
  • Overall Management of FM Hard Services and Soft Services
  • Drive energy management initiatives.
  • Ensure all accruals and sent on time and accurate for weekly meetings.
  • Ensure all self-delivery PMs are completed safely, on time and in compliance with statutory obligations.
  • Negotiate/renegotiate, and maintain contracts with vendors.
  • Take accountability for ensuring statutory maintenance is at 100% compliance
  • Develop and maintain good relationships with internal and external teams, managers, peers and stakeholders
  • Develop, implement, and manage initiatives and programs – Drive specific initiatives such as, benchmarking, and best practices.
  • Assist with the development of the property budgets and forecasts in accordance with the financial timetable.
  • Responsibility for Health and Safety (HS) with support from Health and Safety Department
  • Ensure compliance with EH&S legislation.
  • Produce Monthly Reports in line with existing company reporting structure.
  • Cost control, budgetary management and forecasting, internal reporting
  • Assist with material procurement from approved GMP suppliers.
  • Ensure all materials are shipped and received in a GMP compliant and timely manner, ensuring that receipted material conforms to specifications on purchase orders and internal specifications.
  • Ensure Receipt of inbound deliveries of materials including ambient, 2-8 degrees Celsius and frozen material and movement of these deliveries to appropriate holding locations.
  • Develop and report key performance indicators, KPIs, for external suppliers and service providers.
  • Assist with the management of external engineers, including inductions, arranging parking, onsite supervision and reviewing of work completed.
  • When required, obtain copies of completed reports, calibration equipment and provide the critical expert review of external contractors/supplier’s activities and documentation where they impact on GMP activities.
  • Arrange appropriate regular laboratory cleaning and laboratory coat cleaning/delivery.
  • Write & reviewi of Risk Assessments, ensuring that all laboratory staff follow and comply with the associated chemical Risk Assessments associated with laboratories and assets.

To be considered for this position you will have

  • Experience in a similar Hard Services Facilities Management role in a GMP environment
  • Accustomed to stringent safety standards to safeguard against any hazards associated with chemical, biological or other processes.
  • Strong management experience across multiple teams/ departments with direct reports
  • A proven ability to manage, influence and negotiate with key internal stakeholder across the business.
  • Knowledge of a functional operation to include Tech Ops, manufacturing, supply chain, procurement
  • Experience in Reporting of key KPI’s on a monthly, quarterly and annual basis
  • Mechanical or Electrical Trade or preferable Degree in an Engineering discipline and / or extensive demonstrated experience
  • Desirable; Experience in energy / Sustainability management. Aiming for BREEAM “outstanding” certification.
