This is what #LifeAtBNYMellon is all about.Executive AssistantThe Executive Assistant will report into the BNY Mellon Country Head/CEO Fund Service Ireland DAC. The Executive Assistant will help to support local events and management of same, local communications and management of Senior Executive visits to Ireland.The ideal candidate should have excellent verbal and written communication skills, strong organisational skills and excellent time management to help ensure the efficient and smooth day-to-day operations of the Country Head/CEO. The candidate should have the ability to build relationships with stakeholders, resolve conflicts, operate with discretion on sensitive matters, show initiative and be proactive.

  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Able to manage multiple calendars, coordinate meetings across teams and with senior executive management
  • Responsible for daily interaction and management of communication with the assigned executive’s/team member’s direct reports
  • Appropriately and effectively addresses highly complex issues escalated to assigned members of the team
  • Ability to prepare and distribute meeting agendas, take detailed meeting minutes, proofread documents, reports and other materials
  • Book and coordinate travel arrangements and submit expense reports for multiple senior members of the team
  • Understand the department policies and procedures and be the source of information to the team
  • Help coordinate team activities, conferences, events, townhalls, help with ordering office supplies etc
  • May be required to coordinate special projects and tracking of information e.g. vacation, travel and expenses etc
  • Create and edit documents, spreadsheets, and presentations as and when required
  • May serve as a support team lead, assigning activities to other support staff and checking completion
  • Performs advanced, diversified and often confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organisational policies and procedures
  • Typically conducts a range of administrative assignments related to the smooth operation of the Country Head/CEO and/or team’s attendance at or conduct of seminars, workshops, and/or conferences, among others, including production of materials that may be sensitive in nature, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors.

Qualifications

  • Experience working as an EA within Financial Services Industry is preferred.
  • A degree or relevant business certifications preferred.
  • Bachelor’s degree in lieu of some experience may be considered.
  • The candidate must be proficient using the Microsoft Suite of applications, including Outlook, Word, Excel and PowerPoint.
