Contract Start & End: March – December 2025, with potential to extend

Compensation: $350-$400/day based on location and experience, approximately 4 days/week

Introduction

The world’s largest fossil fuel producers are already on track to produce more than twice the amount of coal, oil and gas than can ever be burned if we are to hit our climate targets. The Fossil Fuel Non-Proliferation Treaty Initiative champions a new international mechanism to complement the Paris Agreement, one that would hold governments accountable for their fossil fuel production plans in an effort to advance a just transition.

We are seeking a consultant to collaborate with our political team to manage online and in-person political meetings and design a programme of support for government officials. This role requires excellent skills in event planning, diplomacy and protocol procedures within different regions, as well as knowledge of capacity strengthening.

Overview:

  • Manage and organise the delivery of in-person and on-line events including Senior Officials and Ministerial Meetings of the Treaty.
  • Fostering collaborative relationships between the Treaty Initiative team and participating nation states.
  • Assessing and identifying innovative approaches to support the technical and overall capacity of national focal points of the Treaty Initiative and other Senior Officials within their delegation to lead and participate in the Treaty Initiative discussions.

Key requirements: strategic planning, excellent stakeholder management, communication skills, capacity building experience and the ability to work across diverse cultures, sectors and timezones

Key Responsibilities

Event Project Management:

  1. Planning and Execution:
    • Develop and oversee comprehensive project plans for events, including timelines, budgets, and resource allocation.
    • Coordinate logistics for Senior Official, Ministerial and other high-level meetings, ensuring seamless execution.
    • Develop event concept notes and promotional material, where appropriate
  2. Stakeholder Engagement:
    • Working closely with the Political Director and key internal team members to deliver events.
    • Manage speaker arrangements, event agendas, meeting papers and participant registration processes.
    • Work with the Communications teams to develop press releases, event notices and communication plans to enhance event visibility.
  3. Risk Management and Evaluation:
    • Identify potential risks and implement mitigation strategies for successful event delivery.
    • Conduct post-event evaluations to analyze performance and recommend improvements.

Government Relations and Strengthening Participation:

  1. Communications with Nation States:
    • Build and maintain strong relationships with government officials, diplomatic representatives, and policy makers.
    • Prepare a monthly bulletin to keep nation-state representatives abreast of progress of the work of the Treaty Initiative and to seek their input on key strategic issues
    • Follow up and encourage input from nation-state Focal Points on key strategic and policy issues.
  2. Strengthening participation
    • Serve as the primary point of contact between the initiative and national focal points to assess and identify capacity needs to facilitate active participation in strategic decisions and pathways for the Treaty
    • Work with the NY Diplomatic Advisor to triangulate capacity needs in NY and other missions for improved participation
    • Design a programme of capacity strengthening, tailored to need, to improve the active participation of nation states and focal points
  3. Protocol and Diplomacy:
    • Ensure adherence to diplomatic protocols during events and interactions with high-ranking officials.
    • Support the organization of bilateral and multilateral meetings to foster mutual understanding and partnerships.
  4. Documentation and Reporting:
    • Prepare briefing materials, policy papers, and reports to support government relations activities.
    • Document agreements, MOUs, and commitments for tracking and follow-up.

Qualifications and Skills:

  1. Education and Experience:
    • Bachelor’s or Master’s degree in International Relations, Political Science, Event Management, or related fields.
    • Minimum of 5 years of experience in event project management and government relations, preferably in an international or multilateral context.
  2. Core Competencies:
    • Proven ability to manage complex, large-scale events with multiple stakeholders.
    • Strong understanding of international relations, diplomacy, and diplomatic protocols.
  3. Communication and Interpersonal Skills:
    • Exceptional written and verbal communication skills in English (additional languages are an asset).
    • Ability to engage with senior officials and diverse cultural groups effectively and respectfully.
  4. Technical and Organizational Skills:
    • Proficiency in project management
    • Experience of project management tools, platforms and event planning software is an asset.
    • Strong organizational skills and attention to detail, with the ability to prioritize tasks under tight deadlines.
  5. Flexibility and Adaptability:
    • Willingness to travel internationally and work flexible hours to accommodate varying time zones and event schedules.
