I am seeking a highly organised and efficient individual to join my clients team as an Office Manager and Executive Assistant to MD. This dynamic role requires a versatile professional who can handle a wide range of administrative tasks and oversee office operations. The successful candidate will be responsible for maintaining an efficient work environment, coordinating office activities, managing schedules, and assisting executives with tasks as needed. This is an exciting opportunity to be at the heart of the organisation and directly contribute to its overall efficiency and success.

Please note this is a fixed term role for 12-18 months and there is no guarantee of a permanent contract at the end. This is also 24 hours a week.

Responsibilities and duties: (regular and occasional, defined and discretionary, administrative, technical and staffing, standards of performance and method of assessment)

Office Management:

  • Oversee and manage all administrative aspects of the office, ensuring smooth daily operations.
  • Coordinate office activities and functions, including scheduling meetings, arranging travel, and maintaining office supplies.
  • Develop and implement efficient systems and processes to enhance the overall productivity and effectiveness of the office.
  • Maintain office records and confidential files, handling sensitive information with discretion.
  • Liaise with various service providers, suppliers, and contractors to ensure the smooth running of office equipment and services.

Executive Assistant:

  • Provide comprehensive personal support to the company executives based in Manchester office, including managing their calendars, scheduling appointments, and organizing meetings.
  • Making travel arrangements.
  • Conduct research, compile data, and prepare reports as required.
  • Act as a gatekeeper, screening and prioritizing requests for executive attention.

Communication and Coordination:

  • Serve as a primary point of contact between executives, employees, clients, and other stakeholders.
  • Coordinate and schedule meetings, presentations, and events, ensuring all logistics are in place.
  • Prepare and distribute meeting agendas, materials, and follow-up notes.
  • Facilitate effective communication within the organization, disseminating information, and ensuring timely responses

Administrative Support:

  • Assist in the preparation of documents, presentations, and reports.
  • Handle incoming and outgoing correspondence, including managing emails, phone calls, and mail.
  • Maintain an organized filing system for both electronic and hard copy documents, worthing with customer operations & other functions.
  • Prepare and process expense reports, invoices, and other financial documentation as required.

Qualifications and Skills:

  • Proven experience in office management and personal assistance roles, preferably within a fastpaced environment.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and a high level of accuracy in all tasks.
  • Excellent written and verbal communication skills, with the ability to communicate information clearly and professionally.
  • Proficient in using office software and equipment, including MS Office Suite and scheduling/calendar programs.
  • Discretion and ability to handle confidential information with sensitivity and professionalism.
  • Strong problem-solving skills and ability to think critically and proactively.
  • Adaptability and flexibility to manage changing priorities and deadlines.
  • Strong interpersonal skills and ability to work well both independently and as part of a team
