The Manager, Contract Operations, is an integral member of UP&E, responsible for providing operational support to the UP&E APAC team across all categories (Toys & Hardlines, Fashion & Living and Food, Beauty & Care, Publishing). The primary focus will be driving operational excellence in the contract lifecycle, business development to drive growth, contract negotiations with key partners and to support both regional and country teams. We are looking for a true operational business partner to support all stakeholders (Legal, Finance, Controllership, Category, IT) to drive performance and execute business strategies. This is a high-profile role with regular exposure to senior and all levels of management. The qualified candidate must be able to multi-task and balance priorities on competing initiatives and be used to working within in a matrix organization. This position requires the individual to review and  process an extremely high volume of licensing deals.

This position will report to Los Angeles based Director, Contract Operations

Key Responsibilities

  • Responsible for Contract Operations for UDX contracts globally with a special focus on the APAC region (Japan, Korea, Australia, New Zealand, Southeast Asia and India)

  • Super-user of deal/revenue systems (Salesforce “CRM” and RightsLogic “RSG”).  Provide user training and services to category and other stakeholders

  • Control point – ensuring compliance against deal guidelines, system data integrity (e.g. data inputted for drafting is complete; system data is consistent with signed contract) etc.

  • End-to-end tracking of deals from deal memo to asset release / signed contract, including continual refinement of relevant reports – objective is to drive efficiencies and ensure the process is well controlled (including KPIs)

  • Responsible for licensee profile creation and deal reconciliation in deal system to ensure accuracy for downstream processes

  • Deal reporting – Refine existing and develop additional reports so the teams can manage their line of  business appropriately

  • Ad Hoc projects / responsibilities within Operations as appropriate (e.g. Licensing Guidelines, Product Approval tracker)

     

  • At least three years experience with consumer products, book publishing or intellectual property licensing ideally within a film/media /entertainment company or other major licensor

  • Good understanding of legal and commercial terms in licensing agreements or similar rights output deals

  • Previous experience with contract management and/or royalty-based systems

  • Previous experience with CRM or Salesforce

  • Solid background with systems, policy setting, and processes

  • Ability to partner with IT to develop meaningful reports from system data

  • Excellent data analytical and organizational skills

  • Strong communication & presentation skills – confidence & presence to interact with senior stakeholders

  • Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint) and Office365 (OneDrive, SharePoint, MS Teams).

  • Highly organised and efficient with excellent attention to detail.

  • Ability to identify, prioritise and manage urgent work assignments, and manage expectations in respect of other tasks

  • Excellent interpersonal skills with an ability to interact with a range of personalities.

  • Ability to work in a fast-paced, changing environment with an often heavy workload.
