DUTIES AND RESPONSIBILITIES |As the Business Administrator you will work within Logistics and Sales Operations and be the go-to person to ensure the smooth completion of orders from Sales Order to product delivery. Ensuring all Sales and Purchase orders are completed with a customer focused and right first-time philosophy and in a timely manner.

  • Raise sales orders from sales quotes and place purchase orders onto the EXN Vendor with a right first-time philosophy and in a timely manner.
  • Ensuring that all licenses, support, professional services and training SKUs are receipted in and fulfilled out within required timeframes and all relevant documentation is forwarded to the necessary parties.
  • Chasing Vendors for ETA for all purchase orders and ensure that all sales orders are updated with shipment tracking numbers and ETAs
  • Resolving any order queries/ issues ensuring minimal delay and impact on our clients.
  • Investigating and completing credit request authorisations (CRA) to satisfactory resolution in a timely manner
  • Ensuring that return (RMA) transactions are completed correct first time and in a timely manner
  • Build strong relationships and ensuring that there is effective communication channels with both internal and external customers.
  • Work closely with the sales team to ensure accurate and timely forecasting.
  • Arrange delivery and collection slots with logistics partners for deliveries throughout Ireland and beyond.
  • Co-ordinate shipping from quote stage to final delivery to End User at every step of the process and ensuring delays are minimised and deadlines are met, tracking key milestones.
  • Responsible for Export license procedures and documentation filing in accordance with ECJU requirements
  • Maintaining database of products info – weights and dimensions, ECCN & HTS codes
  • Ensure stock management targets are met
  • Any other reasonable duties which may be required by management from time to time.

QUALIFICATIONS AND EXPERIENCE

  • Experience working in Export and or Logistics
  • A strong background working in high volume Administration/Operations roles, Ideally with in the IT channel.
  • Proficient in Microsoft office (Word, Excel & Outlook) and have an excellent analytical and numerical skills with a good eye for detail.
  • Ability to communicate effectively with both internal & external client
  • Report on and improve processes to ensure quality and efficiency of services
  • To work well under pressure within a team environment and the ability to be able to prioritise with good time management
  • The ability to know when to progress issues up the chain of management to ensure a satisfactory and timely conclusion.
  • Willingness to take on colleagues’ tasks when the need arises, and to provide cover during periods of absence or peak periods.
  • The ability to build and maintain positive working relationships with both internal & external clients
  • A flexible approach to working hours.
