Administrative Assistant – Part Time

As an Administrative Assistant, you will support the office with clerical duties by performing routine tasks and aiding with projects. The ideal candidate would bring construction industry experience or a project administrative background.

Position Highlights:

  • Family-owned company focused on high end construction remodels.
  • Part time position working between the hours of 9:00am-2:00pm Monday-Friday
  • REMOTE position: Training is completed in the office but then this position is remote.
  • Pay is $20-25/hour based on skills and experience
  • Computer and phone provided.

Responsibilities

  • Support project team personnel with general clerical duties, ensuring office functions run smoothly.
  • Maintain various logs using electronic systems as well as local files.
  • Correspond with clients, subcontractors, and vendors regarding submittals
  • Coordinate subcontractor insurance renewals.
  • Assist with assembling documents, copying, mailing, etc.
  • Contribute to the success and functionality of the office by being flexible and willing to assist where needed.
  • Phone – take calls from potential customers, schedule customer consultations, enter it into the calendar and communicate with the project manager.
  • Compile and submit permit applications to the various cities.
  • Update social media posts twice monthly, including Facebook and Instagram.
  • Perform other tasks as assigned.

Qualifications:

  • At least 2-5 years of previous experience working in a small business environment, ideally from the construction industry.
  • At least a high school diploma or GED equivalent
  • Proficient in computer programs such as MS Office – especially Excel and Word. Ability to learn new programs as needed. Experience working with QuickBooks is a plus.
  • Able to balance routine tasks
  • Strong verbal and written communication skills.
  • Able to communicate with internal and external personnel at all levels.
  • Able to work in a team and independent settings.
  • Work with a positive attitude and remain flexible as priorities change.
