  • Manage the onboarding process for new hires, ensuring a seamless experience.
  • Issue contracts and coordinate all onboarding documentation.
  • Set up IT systems (laptop, mobile, CRM, email, SharePoint, email signature, system integrations).
  • Oversee and track new employee training, ensuring all required learning is completed.

Recruitment Operations & Internal Hiring

  • Advertise job openings on LinkedIn, Indeed, company website, and social media.
  • Screen applications, schedule interviews, and conduct first-round candidate screening.
  • Manage candidate communication.

Systems & Technology Management

  • Act as a subject matter expert (SME) for our CRM (Tracker)—managing reports, compliance, automated messaging, templates, and metrics.
  • Stay updated on new CRM features and ensure team adoption.
  • Support internal IT systems: Power BI, LinkedIn Recruiter, Adobe, SharePoint, Excel, PowerPoint, Word, Outlook, and Teams.
  • Liaise with external IT and software providers for troubleshooting and system updates.

Data & Reporting

  • Prepare weekly, monthly, quarterly, and annual reports using Excel and PowerPoint.
  • Create graphs, dashboards, and visual presentations for internal and board meetings.

Client & Contractor Support

  • Send Terms of Business via Adobe for e-signature and follow up.
  • Handle client onboarding, ensuring contracts, insurance, agency licences, and compliance documents are in place.
  • Support the Contractor Care Program, including onboarding, renewals, and compliance checks.

Facilities & Office Management

  • Order office supplies and manage shared spaces.
  • Coordinate with cleaning services and handle tenant queries.
  • Oversee Health & Safety drills and compliance.

Compliance & Process Improvement

  • Maintain and update training materials, policies & procedures.
  • Handle GDPR queries and compliance requirements.
  • Assist in the renewal of the agency licence.
  • Conduct market research for the Contractor Hourly Rate Guide.
  • Administer Net Promoter Score (NPS) and SurveyMonkey feedback from candidates.

Learning & Development

  • Support L&D and process improvements, helping the team adopt new tech and enhance workflows.
  • Identify and close gaps in individual learning needs within the team.

General Administration

  • Handle general company queries and applications via email.
  • Order from and manage external suppliers.
