Position overview: 

To support the Plant Senior Leadership Team with Administration tasks and HR Manager with Administrative tasks.

This role involves handling a variety of administrative duties, ensuring smooth daily operations, and contributing to a positive customer experience through effective management of the reception and conference areas.

Key responsibilities include:

  • Distribute incoming mail to relevant departments daily upon arrival.
  • Ensure all visitors sign in using the automated system and complete necessary inductions before entering the plant.
  • Manage meeting room bookings for both staff and visitors, ensuring the rooms are prepared for meetings and events.
  • Coordinate travel, hotel, and catering requirements for Plant Management, ensuring all authorisations are completed.
  • Assist Plant Management and staff with the use of Concur and CWT systems for travel arrangements.
  • Maintain and update the reception communications board daily, including visitor names and important notices.
  • Ensure the conference facilities are kept to an exceptional housekeeping standard.
  • Undertake various reception duties, including handling phone calls, mail, parcels, and welcoming visitors.
  • Maintain the Time and Attendance (T&A) system and support managers with system administration.
  • Collect and process all new paperwork from Shift Managers’ offices, ensuring timely updates in the T&A system.
  • Maintain the absence recording system and ensure all Return to Work paperwork is completed and processed.
  • Organise Occupational Health appointments, including pre-employment checks and audiograms. Track appointments, reports, and invoices.
  • Assist the HR Generalist/Administrator with the plant onboarding program for new hires, including compiling onboarding packs and arranging necessary training and reviews.
  • Take a lead role in plant-wide communication, ensuring noticeboards and communication systems are up to date.Take a leading role in plant communications, keep all noticeboards, comms boards and communication systems up to date.

What are we looking for?

  • Experience in the relevant position for at least 2 years
  • Confident user of computer programs: MS Office, SAP SuccessFactors
  • Knowledge of HR admin work
  • Accuracy and high attention to details
  • Well organised and structured
  • Ability to handle sensitive and confidential situations and information with discretion and professionalism
  • Fluent in both written and spoken English
