Job Description: Human Resources AdministratorRole Overview:
Working closely with a small team, the successful candidate will manage the administration of the firm’s Trainee Programmes, from recruitment through to qualification. The team oversees the attraction, recruitment, and management of these individuals. This role involves assisting with both recruitment and programme management, offering a varied and engaging work environment.Key Responsibilities:Trainee and Intern Recruitment:

  • Manage bookings for careers fairs and act as a brand ambassador for the firm at recruitment events, which may involve travel outside Dublin.
  • Coordinate with current trainees to assist at career fairs.
  • Ensure efficient processing of all applications and prompt response to queries.
  • Assist with shortlisting applications alongside the Graduate Recruitment Manager.
  • Organise necessary documentation for interviews and ensure the correct interview packs are provided to interviewers.
  • Book interview rooms and issue offer letters.
  • Support internal/external events aimed at trainees or interns.
  • Research and order new merchandise for recruitment rounds.
  • Update the Trainee Steering Group and HR team on key themes from career fairs.

Summer Programme:

  • Complete onboarding for incoming Summer Interns.
  • Assist with organising the programme schedule, including liaising with Practice Groups, Knowledge Learning & Development, and trainees for trainee-led talks.
  • Arrange weekly social events and organise trainee buddies for Summer Interns.
  • Weekly check-ins with Summer Interns alongside the Graduate Recruitment Manager.
  • Collate trainee offers from Practice Groups, draft offer letters, and communicate outcomes to Summer Interns.

Placement Students:

  • Interview candidates alongside the Graduate Recruitment Manager.
  • Issue contracts and starter forms for successful candidates.
  • Support Practice Group Leads and HR Business Partners with placement student requirements.
  • Upload placement students to the HR system and complete reference checks.
  • Draft orientation schedules and ensure onboarding is complete.
  • Check-in with placement students during their time with the firm.

Trainee Development Programme:Onboarding:

  • Draft and issue contracts for incoming trainees, upload them to the HR system, and organise orientation schedules.
  • Brief Trainee Facilitators on incoming trainees and liaise with the HR Operations team on orientation and onboarding processes.
  • Organise trainee buddies for new trainees.

Skills and Experience:

  • 2-3 years of experience in HR administration, ideally in professional services, though not essential.
  • Ability to work independently and as part of a team, with strong organisational skills and attention to detail.
  • Experience in managing social media in a professional context is beneficial but not essential.
  • Excellent communication and interpersonal skills, high motivation, and proactive problem-solving ability.
  • Capacity to work in a fast-paced environment.
