Job Description

Signature Aviation is seeking a Communications and Community Impact Specialist to join a rapidly expanding Orlando-based global organization. This role provides critical support to corporate communications and community impact departments and will manage execution, implementation, and coordination across multiple priorities, projects, and channels. The role will support two Communications Managers and the Manager of Community Impact. This is an ideal role for someone with communications, marketing, and/or community impact experience who is tech savvy, collaborative, responsive, and has experience with data analytics and working across multiple communications platforms/channels. The specialist will travel as needed for special projects and events. All candidates will need to complete a written assignment.

Job Responsibilities

  • Assist with coordination of companywide editorial calendar encompassing internal and external initiatives and announcements, sending ongoing updates as calendar changes

  • Problem-solve for schedule overlaps and ensure the cadence of internal communications is effectively managed

  • Assist with evaluating shared calendar solution and oversee implementation and training for the new tool

  • Serve as production support for creating and deploying diverse internal communications, including a weekly live event that broadcasts on Teams Town Hall, newsletters, emails, and standing meetings.

  • Support Communications Managers to facilitate the distribution of content across communication channels, including reformatting, designing, and repurposing materials for diverse platforms (e.g., Hubspot, Sharepoint, ScreenCloud)

  • Collect information for and create initial drafts of company newsletters for multiple audiences.

  • Reformat weekly content for digital signage deployed to approximately 200 locations.

  • Assist in updating our intranet so content is fresh, engaging, and showcases the most relevant information for our employees.

  • Serve as a quick and accurate proofreader, able to follow a designated style guide consistently.

  • Manages the coordination of Signature Serves initiatives

  • Oversee expansion and maintenance of the Serves Portal, including pulling monthly reports, analyzing data, and monitoring grant requests and volunteer tracking

  • Leads tool kit creation and coordination of volunteer events

  • Generate regular reports

  • Pull data and prepare reports, including recommendations based on monthly analysis.

  • Manage distribution lists and coordinate with relevant stakeholders (HR/IT, etc.)

  • Project Management

  • Assist with project management and execution as needed, including managing meeting invites, drafting recaps of events, distributing meeting notes, shipping employee gifts, and following up on deliverables.

  • Assist with budget tracking, processing invoices, etc.

Job Qualifications

Minimum Education and/or Experience:

  • 3 years relevant experience (communications, community impact, marketing, project management, business administration) or a related field

  • Prior experience working under tight deadlines and changing priorities

  • Experience working with communications platforms (e.g., email, graphic design, intranet, etc.)

  • Bachelor’s degree

Additional knowledge and skills:

  • Excellent verbal/written communication skills, strong grammar and proofreading skills

  • Exceptional interpersonal skills and professionalism

  • Comfortable reporting to multiple people

  • Familiarity with platforms like YourCause, Benevity, and/or CyberGrants

  • Proven ability to successfully work in a decentralized organization and develop & maintain effective working relationships across the organization

  • Excellent time management, attention to detail, and organization skills

  • Demonstrated ability to manage multiple priorities and work in a fast-paced, dynamic environment

  • Analytical mindset with the ability to leverage data and metrics to drive insights and make data-driven decisions

  • Familiar with the use of common business software applications such as Microsoft Office applications, including SharePoint
