Lifebox works to increase anesthesia safety, reduce surgical infection rates, and strengthen operating room teamwork through tools, training, and partnerships. Since its founding in 2011, Lifebox has worked in over 116 countries and trained more than 13,000 healthcare providers. Lifebox is registered as a charity in Ethiopia, Liberia, the UK, and the US, with just over 50 staff and affiliated faculty, and an operating budget of nearly $4M supported by individual donors and foundations. Purpose of the role

Lifebox currently has a portfolio of grants from 5-10 key funders – partner NGOs, family foundations/trusts, and corporate donors. These include unrestricted investments in Lifebox’s strategic plan, high-value strategic partnerships, and project-specific grants. Lifebox aims to continue to grow and diversify its foundation and institutional funding portfolio over the next five years.

The Grants Manager will provide high quality end-to-end management for Lifebox’s grants, including research of opportunities, proposal and budget development and writing, ensuring compliance with donor requirements, including producing high-quality grant reports, and ensuring successful grant closure.

POSITION DESCRIPTION

Grant research and development

  • Research and identify appropriate trust/foundation and institutional funding opportunities;
  • Track submission deadlines and create a funding and submission pipeline and workplan;
  • Lead the development of proposals for trusts, foundations, and institutional funders, working with program and clinical team members to ensure that clear roles and responsibilities are agreed and high quality proposals which meet donor requirements are submitted on time;
  • Work closely with program and finance teams to compile accurate proposal budgets, ensuring that all necessary and relevant costs are included and sound cost recovery models are in place.

Grants administration and compliance

  • Review all funder contracts, flagging any issues and ensuring that financial compliance and other requirements are met;
  • Coordinate with respective budget holders and finance in order to ensure grant budgets are correctly allocated and aligned;
  • Ensure budget variance or other change requirements are managed and requests for amendments are appropriately communicated with funders and documented;
  • Collaborate with the finance team in the development and consolidation of restricted annual budget and forecasts;
  • Monitor grant payment schedules, requests and raise grant invoices,to ensure Lifebox receives funds in a timely manner;
  • Manage budgeting, contracting, and reporting processes around subgranting to partners;
  • Ensure all grant documentation is appropriately filed and retained for audit purposes and all contacts and reporting is updated in Salesforce.

Reporting

  • Manage deadlines and processes to ensure that all grant reports (narrative and financial) are submitted on time and to a high standard;
  • Working with clinical and program team members to draft content, ensure consistency between narrative and financial reports, and produce high quality and compelling reports (including financial reports) for funders.

PERSON SPECIFICATION

Essential

  • Minimum 3 years of experience in a non-profit grants management role, working with trusts/foundations, corporates, and institutional funders;
  • Excellent written English skills, with proven ability to work with technical experts to interpret data and information to develop high-quality written proposals and reports;
  • Experience of working with and analyzing financial information to build high quality, accurate budgets and financial reports;
  • Ability to quickly build strong working relationships with colleagues and funders, including those working in different geographies and cultures;
  • Excellent administrative and organizational skills; self-motivated with proven ability to take initiative and work with remote supervision;
  • Ability to prioritize tasks and work to competing deadlines
  • Understanding of principles of monitoring and evaluation, and ability to interpret data appropriately;
  • Understanding of global health funding trends and experience of donor research and prospecting;
  • Excellent written and spoken English;
  • Excellent information system skills (particularly in Word, Excel and Powerpoint and/or the Google suite equivalents);
  • Strong commitment to Lifebox’s mission and vision.

Desirable

  • Experience working in global health
  • Knowledge of monitoring and evaluation tools and practices
  • Fluency in additional languages, particularly Amharic, French, or Spanish
